A creatine monohydrate specification defines what the material must meet. A purchase order confirms what was bought. Neither document necessarily explains who must investigate a disputed result, notify a manufacturing change or provide a retained sample.
That is the role of a supplier quality agreement. It converts general expectations into assigned responsibilities between the creatine supplier and buyer. The document should be proportionate to the risk, product application and destination market—not copied unchanged from a pharmaceutical template.
Start by Defining the Parties and Material
The agreement should identify the contracting companies, responsible manufacturing site, supplied creatine grade and any approved subcontractors. Product descriptions should be specific enough to distinguish 80-, 200- or 500-mesh grades, high-density grades and other application-dependent options.
It should also establish which documents control when information conflicts. A practical document hierarchy might place the signed quality agreement first for quality responsibilities, followed by the approved specification, agreed analytical methods, purchase order and other technical documents.
Commercial terms such as price and payment usually remain in the supply contract rather than the quality agreement.
Attach the Approved Specification and Test Methods
The agreement should reference a controlled, version-numbered specification covering the attributes relevant to the intended use, which may include:
- • identity and assay, including the reporting and calculation basis;
- • water or loss on drying;
- • creatinine, dicyandiamide and DHT;
- • elemental and microbiological limits;
- • particle-size distribution;
- • bulk or tapped density where processing depends on it;
- • packaging, labelling and storage requirements.
The test method matters alongside the numerical limit. “Assay ≥99.9%” is incomplete if one laboratory reports creatine monohydrate on an as-is basis and another reports anhydrous creatine on a dried basis.
For physical attributes, the agreement should identify the applicable sieve or laser-diffraction procedure, sample conditioning and reporting format. The same mesh label alone does not guarantee identical powder behaviour.
Define COA and Incoming-Control Responsibilities
The agreement should state which results appear on each lot-specific Certificate of Analysis, whether actual numerical results are required and which tests are performed on every batch.
For US dietary supplements, 21 CFR Part 111 generally requires an appropriate identity test or examination for each dietary ingredient unless a valid exemption applies. A manufacturer may rely on a qualified supplier’s COA for certain other component specifications only after establishing its reliability, documenting that qualification and periodically reconfirming it.
A quality agreement does not transfer these regulatory responsibilities from the finished-product manufacturer to the ingredient supplier. It should instead define what evidence the supplier provides to support the buyer’s qualification program.
Agree on Change Notification Before Supply Begins
Change notification is often one of the most commercially important clauses. It should define which changes require advance notice, such as:
- • manufacturing site or major process changes;
- • starting-material or critical supplier changes;
- • analytical-method or specification revisions;
- • particle-size grade or milling changes;
- • packaging or storage-condition changes;
- • new subcontracted testing or manufacturing activities.
The parties should agree on a notification period and identify when buyer approval, additional documentation, new samples or application trials are required. The agreement should avoid unrealistic language suggesting that every minor internal adjustment requires customer approval.
Establish Procedures for Deviations and Disputed Results
When the buyer’s result does not match the supplier COA, the agreement should define the communication route and minimum investigation package. This may include the complete laboratory report, sample identity, method, chromatograms, calculations, storage history and specification version.
The procedure should distinguish between:
- • retesting the original preparation to examine laboratory performance;
- • testing an unopened retained sample;
- • collecting a new representative sample from the commercial lot;
- • using an agreed independent laboratory when results remain unresolved.
A passing retest should not automatically erase the original result. Final lot disposition remains the responsibility of the organization releasing or using the material under its quality system.
Cover Traceability, Complaints and Recall Support
The supplier should be able to connect the delivered lot to manufacturing, testing and distribution records and define how long relevant documents and retained samples will be kept.
For EU food businesses, Regulation (EC) No 178/2002 establishes traceability through production, processing and distribution and requires operators to identify their suppliers and business customers.
The agreement should also set expectations for complaint acknowledgement, investigation timelines, urgent safety communication, recall assistance and contact availability outside normal business hours when justified by risk.
Include Audits, Performance Review and Agreement Maintenance
Audit rights should be practical. The agreement can define document reviews, remote assessments or on-site audits based on risk, supplier history and material criticality. Certifications may support supplier evaluation, but they do not replace the buyer’s qualification responsibilities.
Performance monitoring may cover:
- • batch acceptance and rejection trends;
- • documentation accuracy;
- • complaint and deviation history;
- • delivery performance;
- • responsiveness to corrective actions;
- • timely notification of changes.
The agreement should have an effective date, approval signatures, periodic review expectations and a process for revision or termination.

- • Regulatory and customer requirements may change, so agreements require controlled review rather than indefinite use.
